Information for School Camp Coordinators
Step 1 - Participant form distribution (ASAP)
To commence gathering information required to support those attending camp at KIEEC, please use the following forms:
- Student - medical and activity consent form
- Adult - medical and activity consent form
In addition, parents and guardians should be provided with:
- Camp information & packing list
- Biosecurity brochure
NB The student and adult consent forms have been formatted for digital or printed distribution. To enable digital signatures, the forms need to be accessed on a PDF viewer application, not a web-based application.
All completed, hard-copy medical & activity consent forms should be brought with you to camp to allow KIEEC staff to refer to in an emergency. They should be taken back to school when you depart.
Step 2 - Confirmation Booking Form (Due 4-weeks before camp)
Your KIEEC Camp Coordinator will email a personalised link to your digital "School Camp Planning form". This is a live, online excel spreadsheet that only you and KIEEC can access to collate your booking information.
The Confirmation Booking Form is an overview of your camp booking which includes student numbers, staff numbers, arrival/departure times, and student support requirements.
Based on your expected numbers, KIEEC will also determine if you need to allocate students into one or two activity groups. Group planning should be considered at this point.
It is important that you let us know if you are handing over camp co-ordination as soon as possible so all relevant parties can be included in important communications and given access to this online camp planning form.
Step 3 - Completed Group List/s (Due 2-weeks before camp)
KIEEC use these forms to ensure the health and wellbeing of all camp participants and they are required by our caterers 2-weeks prior to camp. Please collate student and adult information from the medical and activity consent forms onto these digital forms.
